To open the Aptiva Communications Center dialog box From the Windows '95 task bar - 1. Click on the Start button 2. Click on Programs 3. Open the Aptiva Communications Center group. 4. Click on the Operator icon. The Aptiva Communications Center dialog box appears and the Aptiva Operator immediately starts to monitor your telephone line. To use the Aptiva Communications Center dialog box. This dialog box provides access to all Aptiva Communicating Center settings and applications. Click on: To open the Aptiva Telephone window. To open the Aptiva Fax Center window. To open the Aptiva Address Book. To start modem communications program identified at the Aptiva Communications Center's Modem Communications setting. To access Aptiva Communicating center settings To control how the Operator handles your calls As soon as you turn on the Aptiva Operator, it starts monitoring your telephone line and is ready to help you handle incoming calls and make outgoing calls. You can control how the Operator responds to incoming calls and handles outgoing calls using various Aptiva Communications Center settings. Telephone settings tell the Operator how to announce calls (for example, by "ringing" the Aptiva Telephone through your computer's speakers, and/or displaying a dialog box on your screen). Answering Machine settings tell the Operator when the Aptiva Answering Machine is on and how it should work. Dialer settings provide the Operator with access codes (for example, codes to access an outside line from your building, or dial a long distance number) and calling card information that can be dialed. (See "Dialer" Faxback Doc. # 33120). You can review and change any of these settings at any time. (Any changes you make take effect immediately. You do not need to restart the Operator.) If you are a new user The Operator is initially set to - 1. Answer the telephone after three rings. 2. Play the preassigned greeting that comes with the Aptiva Communications Center's Message Center. 3. Take a message. A good first step in using the Aptiva Communications Center is to learn about the Telephone, Answering Machine, and Dialer settings, and decide how you want the Operator to work for you. Getting started tip - If the Operator has answered the telephone, you can always take the call yourself by picking up your telephone handset. To access Aptiva Communications Center settings To access any of the Aptiva Communications Center settings, click on the Settings button in the Operator dialog box. An Aptiva Communications Center settings dialog box appears. Setting up Aptiva Communications Center All Settings to control the Operator and each Aptiva Communications Center application are available through the commands in the Aptiva Communicating Center settings dialog box. In the dialog box, click on the: Telephone icon to review or enter C settings. Answering Machine icon to review or enter Answering Machine settings. Fax icon to review or enter Fax settings. Modem icon to review or enter Modem Communications settings. Dialer icon to review or enter dialing codes. Mailbox icon to create or delete Message Center mailboxes. NOTE: All the Aptiva Communications Center settings have preassigned initial values. You can review and change settings at any time. A Summary of Answering Machine Settings To open the Answering Machine settings dialog box 1. In the Operator dialog box, click on Settings. 2. In the Settings dialog box, click on Answering Machine. Settings Summary The table below lists all Aptiva Communicating Center's Answering Machine settings. Use To Enable Answering Machine Turn the answering machine on and off. Enable Toll Saver Activate the ability to call in and determine if you have new messages on your machine, according to the number of telephone rings you hear. Wait XX rings until Set how long the answering machine should pickup if no new wait before answering a call. Listen to caller speak Activate the call screening feature. during message Maximum message length Set a limit, in seconds, on the length is xx seconds of any message. Answering Machine Setting Definitions Enable Answering Machine Click on the checkbox to turn the answering machine on and off. When the box is: Checked (the default) - The answering machine accepts messages. Not checked - The answering machine does not accept messages. Enable Toll Saver This feature lets you call into your Aptiva Answering Machine and determine whether or not you have new messages, according to the number of times the telephone rings before the answering machine picks up. Click on the checkbox to turn the Toll Saver feature on and off. When the box is: Checked - If no new messages for any mailbox have come in, the Operator waits for two rings longer than the number entered at "Wait xx rings..." When there are new messages for any mailbox, the Operator waits for the number of rings entered at "Wait XX rings..." Not checked - The Operator always answer calls after the number of (the default) rings entered at "Wait xx rings..." Wait XX rings until pickup if no new messages Type in the number of rings the Aptiva Answering Machine should wait before answering a call. If: You have any new message in the Message Center, the telephone will ring the number of times entered here. You do not have any new messages and Toll Saver is active, the telephone rings two times more than indicated here. The default is three rings. Listen to caller speak during message This setting lets you monitor callers through the computer's speaker system while they are leaving messages on the Aptiva answering machine. When the box is: Checked - You will hear Message Center prompts and your callers' (the default) voices over the computer's speaker as they leave their messages. Not checked - Output to speaker is suppressed when a caller is leaving a message in the Message Center. Maximum message length is xx seconds Sets a limit on the maximum length of time (in seconds) allowed for each message. The default is 55 seconds. (br/all-05/31/96)
