TAD-265 Cordless Telephone Answering System (430-0730) Operation Faxback Doc. # 15892 TELEPHONE OPERATION Be sure you complete the procedures in "Installation" (Faxback Doc. # 17228) and "Preparation" (Faxback Doc. # 17229) before you begin using the telephone. For best reception, fully extend the base's antenna and position it vertically. MAKING OR ANSWERING A CALL To make or answer a call, lift the handset from the cradle. Or, if the handset is away from the cradle, press the handset's TALK button until the talk indicator lights. To end a call, place the handset on the cradle. Or, press the handsets TALK button until the talk indicator turns off. NOTE: When you press a button on the handset, a tone sounds to indicate that the phone accepted the command. QUICK CALL FUNCTION The TAD is factory set for the quick call function, so the handset automatically seizes the telephone line and the TALK indicator turns on when you lift it from the cradle. You might want to cancel this function so the phone is not off-hook when you move the handset away from the base. To cancel the quick call function, follow these steps. 1. Turn off all indicators on the base and handset. (Press TALK to turn off the talk indicator; (Press TALK to turn off the talk indicator; press STOP to turn off the answer indicator). 2. Press * then MEMORY. The HOLD/INTERCOM indicator starts to blink and a beep sounds. 3. Press FLASH then #. 4. Press MEMORY to store the new setting. The HOLD/INTERCOM indicator goes off and a long beep sounds. To restore the quick call function, repeat Steps 1-4, but press * instead of # in Step 3. USING FLASH FLASH performs the switch hook operation for special services such as call waiting. For example, if you have call waiting, press FLASH to take an incoming call without disconnecting the current call. Press FLASH again to return to the first call. NOTES: The redial memory does not store a FLASH entry or the digits you press after FLASH. If you do not have any special phone services, pressing FLASH might disconnect the current call. USING REDIAL The redial function lets you quickly dial the last number dialed. Follow these steps to redial the number. 1. Return the handset to the cradle or press TALK. 2. Lift the handset or press TALK. Listen for a dial tone. 3. Press REDIAL/PAUSE. The phone automatically dials the last number you dialed. The redial memory holds up to 40 digits, so you can redial long-distance numbers or local numbers. The redial memory also holds PAUSE entries. See "Entering a Pause" under "Memory Dialing" (Faxback Doc. # 6157). NOTES: The redial memory does not store a FLASH entry or the digits you press after FLASH. If you do not have any special phone services, pressing FLASH might disconnect the current call. USING TONE SERVICES ON A PULSE LINE PAUSE REDIAL FLASH MEMORY ANSWER REMOTE TONE <- Some special services, such as bank-by-phone, require tone signals. If you have pulse service, you can still use these special tone services. Follow these steps. 1. Be sure TONE/PULSE is set to the PULSE is set to the PULSE position. 2. Dial the service's main number. 3. When the service answers, press TONE. Then dial the additional numbers. The phone uses touchtone dialing to dial these numbers. 4. After you complete the call, return the handset to the cradle or press TALK. The phone automatically resets to the pulse mode. NOTE: We recommend that you not use the redial feature for numbers that include a TONE entry, because the one-second pause following the mode change might not be long enough to allow the special service to answer. USING THE INTERCOM HOLD/INTERCOM INTERCOM Use the intercom feature when you want to talk with someone near the handset or the base. This feature also helps you locate the handset when it is away from the base. To call from the handset to the base: 1. Press HOLD/INTERCOM on the handset. The base rings three times and then the speaker and microphone in the base automatically turn on. 2. Carry on the conversation. 3. When you complete your conversation, press HOLD/INTERCOM again. The base also cancels the intercom function when the person at the base presses INTERCOM. NOTE: You can use the intercom feature after you put a caller on hold to transfer a call from the base to the handset rings. To call from the base to the handset. 1. Press INTERCOM on the base. The handset rings. 2. The person at the handset presses HOLD/INTERCOM. Carry on the conversation. 3. When you complete a conversation, press INTERCOM on the base or HOLD/INTERCOM on the handset. USING THE OPTIONAL HEADSET You can conduct a "hands-free" conversation using an optional headset (not supplied). Contact your local Radio Shack store for ordering information (CMC No. 43-731). Follow these instructions for using the optional headset. 1. Adjust the headset for comfortable wear. To wear the headset on your right ear, turn the receiver over clockwise. 2. Wear the headset so the receiver is next to your ear and the microphone is close to your mouth. 3. Insert the headset plug into the jack on top of the handset. Carry on the conversation. TAD OPERATION SETTING THE TAD TO ANSWER CALLS ANSWER ANSWER/ANN ONLY If the ANSWER indicator is on or flashing, the TAD is ready to answer calls. If the ANSWER indicator is off, press ANSWER on either the handset or the base to set the TAD to answer calls. When the caller hangs up, the maximum recording time elapses, or there are more than 6 seconds of silence or busy tone, the TAD hangs up and resets to answer the next call. If the message tape reaches the end while a caller is leaving a message, the TAD sounds a 2-second beep and hangs up. The ANSWER indicator turns off if the TAD has recorded no message or blinks slowly if the TAD has recorded messages. NOTES: The ANSWER indicator must be off before you perform most programming functions. To turn it off, press STOP at the base or REMOTE and 0 on the handset. If you have not recorded the outgoing announcement, the TAD sounds four beeps when you press ANSWER. You must record the outgoing announcement before you can record calls. See "Recording the Outgoing Announcement. VOX Your answering machine's VOX (Voice Operated Transmission) circuit continuously monitors the caller's voice for about the first 7 seconds. If there is no voice, the answering machine stops recording, hangs up, and resets. This helps conserve tape when a caller hangs up before the maximum incoming message time (30 seconds or 3 minutes) and the TAD does not detect CPC signals. MESSAGE GROUPING Your answering machine divides your incoming messages into two groups - old messages you have already heard and new messages. New messages become part of the old message group after you listen to all of the new messages and reset the TAD to answer more calls. NOTES: You cannot record over a message you have not heard yet. If you try to do so, the answering machine first advances the tape to the end of the new messages before recording. This prevents accidental recording over an unheard message. The answering machine thinks all new message have been heard after the last message plays to the end, even if you skipped some messages in the group. RECORDING AN OUTGOING MESSAGE 1. Turn off all indicators. 2. Press Remote. 3. Press *. The TAD produces five beeps and rewinds. 4. After the one-second beep, record your outgoing message. 5. Press 0 when you have finished recording. PLAYING MESSAGES After you receive at least one new message, the ANSWER indicator slowly flashes. NOTE: If a caller hangs up without leaving a message (or without using the maximum time), and your telephone substation does not send out CPC signals, the answering machine records dial tones, beeping, or a recorded voice for the remaining time or until the VOX circuit stops recording. The ANSWER indicator might slowly flash, although you do not hear the caller's message. To listen to new messages from the base, press PLAY/FAST-F. To listen to new messages from the handset, press REMOTE then 2. The incoming message tape rewinds and the new messages play. NOTES: The TAD sounds an intermittent beep while the incoming tape is rewinding. At the end of each message, the TAD beeps. At the end of the messages, playback automatically stops, the TAD beeps three times, and the ANSWER indictor turns off. USING COMMANDS You can enter commands either while you listen to messages or at the command prompt (three beeps). The command prompt sounds after you listen to new messages and after the TAD has completed a command. It indicates that the TAD is ready to accept (more) commands. The following chart shows which key to press to perform the desired command. If you want to command the TAD from the handset, press REMOTE first, then each command key - play (2), rewind (1), or fast forward (3). Command Base Handset Rewind the tape Press REWIND. NOTES: You can stop playback at any time. When you set the TAD to the answer mode again, the TAD fast-forwards the tape to the end of new messages and enters the answer mode. The ANSWER indicator flashes slowly to show there are messages you have not yet heard on the tape. To save new messages, you can stop the tape after you play the messages. If you do not want to save the messages, you can rewind the tape and set the TAD to answer a call. The TAD records future messages over the last messages you heard. SETTING THE TAD TO NOT ANSWER CALLS If you do not want the TAD to answer calls, press STOP on the base. On the handset press REMOTE then 0. NOTES: When you start playing back messages, the TAD automatically stops answering calls. See "Playing Messages." After you stop the TAD, the ANSWER indicator turns off if the TAD has recorded no message or blinks slowly if the TAD has recorded any message(s). SCREENING CALLS To screen your calls, let the TAD answer calls for you, and listen to the caller's message through the TAD's speaker. If you decide to answer the call, lift the handset from the cradle or pick up any phone connected to the same phone line as the TAD. The TAD stops recording and resets for the next call. NOTE: If you pick up the phone just as the TAD answers, the TAD might not stop announcing. If this happens, hang up the phone and pick it up again. ERASING MESSAGES To erase the messages, do the following. 1. Play the incoming messages. 2. When the TAD has played back the last message, press STOP. 3. Press and hold REWIND ERASE inside the tape compartment and also press REWIND. The TAD rewinds and erases the tape to the beginning of messages. The TAD records over the messages when you set it to the answer mode and new messages come in. NOTE: You cannot erase the messages while the TAD is in the answer mode. Press STOP to cancel the answer mode and try the above procedure. RECORDING A MEMO To record a reminder for yourself or a message for someone in your home or office, do the following. From the base: 1. Press MEMO. The TAD beeps once. 2. Begin recording the message. Speak in a strong voice from about 12 inches away from the front of the TAD. 3. When you finish speaking, press STOP. The TAD registers the memo as an incoming message. From the handset: 1. Press REMOTE. 2. Press * then 4. 3. Begin recording the message after a one-second beep. Speak into the handsets mouthpiece. 4. When you finish speaking, press 0. The TAD registers the memo as an incoming message, and the memo indicator flashes. NOTE: If you do not listen to all new incoming messages, the TAD fast forwards the tape to the end of new messages and then records the memo message. To retrieve the memo, press PLAY/FAST F. RECORDING A TWO-WAY CONVERSATION You can record both sides of a hone conversation at any time. To record a two-way conversation from the handset: 1. Press REMOTE when you want to record. 2. Press * then 6. The TAD starts to record the two way conversation, and the memo indicator flashes. 3. Press REMOTE then 0 to stop recording. NOTES: It is illegal in some states to record a conversation without the consent of all parties to the conversation and the phone company. Check the laws in your area before using the two-way record feature. If you do not listen to all new incoming messages, the TAD fast forwards the tape to the end of the new messages and then records the two-way conversation. When you press the buttons to start or finish recording, the other part might hear the control sounds. When you hang up, the TAD automatically stops recording. When you put a caller on hold, the TAD interrupts recording until you return to the caller. AUTO CALL The auto call function lets the TAD call your pocket pager or a designated telephone number each time it receives a message. When the TAD calls a telephone (not pager) number and you pick up the phone, the TAD beeps for 45 seconds. While it beeps, you can enter your security code and operate the TAD remotely. Or, if you prefer, you can call the TAD later and retrieve the messages (see "Remote Control Operation, Faxback Doc. # 6158). You choose the number of auto call attempts (1-9) the TAD makes to your pager or designated telephone. The TAD calls the pager or phone for the selected number of times in 15-minute intervals, or until you retrieve the message. The TAD's factory setting is auto call off. Before you turn on the auto call function, you must store the remote security code (see "Storing Your Security Code" under "Remote Control Operation") and the phone or pager number as described below. If you have not stored the code and number, the AUTO CALL indicator flashes rapidly, indicating that the auto call function is not operating. Storing the Pager or Telephone Number You must store the pager or telephone number before activating the auto call function. Follow these steps to store the pager or telephone number. 1. Be sure the TALK indicator is off. 2. Press # then Memory. The HOLD/INTERCOM indicator starts to flash and a beep sounds. 3. Press #. 4. Enter the pager or telephone number and any PAUSE and TONE entries. See "Entering a Pause" under "Memory Dialing" and "Using Tone Services on a Pulse Line." NOTE: Each PAUSE or TONE entry uses one digit of the 16-digit memory capacity. 5. Press MEMORY to store the number. A long beep sounds and the HOLD/INTERCOM indicator turns off. NOTES: If you receive a call while setting the auto call function, press TALK to answer the call. After the call, begin again at Step 2 to store the number. To delete a number from memory, repeat all steps except Step 4. Turning the Auto Call Function On/Off If you have stored a pager or telephone number and the remote control security code, you can turn on the auto call function by following the steps below. 1. Be sure the TALK indicator is off. 2. Press * then MEMORY. The HOLD/INTERCOM indicator blinks and a beep sounds. 3. Press 9. 4. Enter the number of call attempts using the number button (1-9). 5. Press MEMORY to store the setting. The AUTO CALL indicator turns on, the HOLD/INTERCOM indicator goes off and a long beep sounds. You can change the auto call settings remotely. See "Remote Control Operation" (Faxback Doc. # 6158). To turn the auto call function off, follow all of the above steps, but enter 0 as the number in Step 4. RING COUNT SETTING 1. Make sure all indicators are off at the handset and base. 2. Press * and then Memory. 3. Press Answer. 4. Press a number on the handset for the number of rings (1 through 7, 8 for toll saver.) 5.
