Caller ID Speakerphone System 1200 (430-0967) Operation Faxback Doc. # 17734 Making/ Receiving A Call To make a call using the handset, simply pick it up. When you hear the dial tone, dial the number. The current time disappears, and the number appears on the display as you dial it. When you complete the call hang up the handset. The number disappears from the display, and the current time reappears. When you receive a call, the system rings (if you set RINGER to HIGH or LOW). To answer the call, pick up the handset. Using the Speakerphone Follow these steps to make a call using the speakerphone. 1. Slide VOLUME to its minimum position. 2. Press SPKRPHONE. SPKR appears on the display, the SPKRPHONE indicator lights, and you hear a dial tone. 3. Adjust VOLUME to a comfortable listening level. 4. Dial number SPKR and the current time disappears, and the number appears on the display as you dial it 5. When you complete the call, press SPKRPHONE again. The number disappears from the display, and the SPKRPHONE indicator turns off. Then the current time reappears. To receive a call using the speakerphone, press SPKRPHONE. NOTES: When you use the speakerphone and VOLUME is set to a higher level, both you and the caller can hear only one end of the line at a time. If you adjust VOLUME to a lower level, both you and the caller can hear both sides of the call If the system is close to loud noises while you are using the speakerphone, the system might not switch to let you hear the person on the other end of the line. If this happens, press PRIVACY to turn off the microphone so you can hear the caller. PRIVACY appears on the display. To switch from the handset to the speakerphone, press SPKRPHONE, the hang up the handset. To switch from the speakerphone to the handset, simply pick up the handset. Using Privacy During a call, press PRIVACY to talk to someone else in the room without the person on the other end of the line hearing your conversation. PRIVACY appears on the display. Press PRIVACY again to resume your phone conversation. Using Flash Pressing FLASH sends the electronic equivalent of a switchhook signal. Use FLASH with special phone company services such as call waiting. If you have call waiting, you can press FLASH to take another incoming call on the same line without disconnecting the current call. F appears on the display to the right of the number you dialed. Press FLASH again to alternate between the two calls. NOTES: If you do not have any special phone services, pressing FLASH might disconnect the current call. Pressing FLASH does not hang up the phone. You can store a FLASH entry when you store a number in memory. The phone's redial memory does not dial a FLASH entry or any digits you press after FLASH. Using Redial NOTES: The redial memory holds up to 32 digits, so you can redial long- distance as well as local phone numbers If you redial a phone number that includes a flash entry, the phone only redials the numbers before FLASH. For example, if you dial 1234 FLASH567, pressing redial only redials 1234. Simply press REDIAL when you hear a dial tone to quickly redial the last number dialed. The number scrolls across the display, and the system dials it. NOTE: To activate the speakerphone then redial the last number dialed, hang up the handset, then press REDIAL twice within 30 seconds Using Tone Services On A Pulse Line Some special services (such as electronic banking, calling cards, telephone answering equipment, etc.) require tone signals. If you have pulse service, you can still use these special tone services by following these steps. 1. Be sure TONE/PULSE is set to PULSE. 2. Dial the number of the special service. 3. When the service answer press*. Any additional numbers you dial are sent as tone signals. 4. After you hang up, the system automatically returns to the pulse mode (since TONE/PULSE is set to PULSE). Using Caller ID If you subscribe to Caller ID, the system automatically displays information about calls you receive and stores the information in Caller ID memory. Depending on the amount of call information you receive, the system can store 99 or more incoming phone numbers, or 45 or more incoming names and phone numbers into call records. During an incoming call, the phone company automatically sends the correct time between the first and second rings to update your system's display (if you subscribe to Caller ID). If you are using the phone or programming the system, the correct time will not appear until you are finished. The top of the call record shows the phone number (or name, if available) of the call, and the bottom line shows the time, date, and number of the call. Caller ID Display Information The caller ID information by the system is what is transmitted by the phone company. The system might also display any of the following Call-Fd - Appears instead of the phone number if the call was forward to you by a phone which was set to forward all calls (using the phone company's call forwarding service). Press READ to see the phone number of the original caller CALL Fd BUSY - Appears instead of the phone number if the call was forwarded to you by a phone set to forward any busy calls, and the number the caller dialed was busy. Press READ to see the phone number of the original caller CANCEL ? - Appears while you select and delete incoming call records. DATA ERROR - Appears if all Caller ID information was garbled. It is normal for this to happen occasionally, If this happens often, contact your local telephone company and ask them to correct the problem NOTE: The system might display ? one or more times in Caller ID Information instead of DATA ERROR if individual characters were not properly received -END- - As you review stored information, this appears when you reach the end of the information MESSAGE - Flashes if you subscribe to a message waiting service and a message is waiting If MESSAGE flashes and you have a message waiting, contact the phone company to clear the message. If MESSAGE flashes and you do not have a message waiting, press and hold down FLASH until MESSAGE disappears. NEW - Flashes during a new incoming call (and after the call if you didn't answer it) and appears the first time you review a call's information. A new call is an incoming call where the caller's name (if available) is not already stored in the system's Caller ID memory NO CALLS - Appears if there is no Caller ID information stored in the system's memory. OUT OF AREA - Appears if the caller is not within a Caller ID service area, or during the following types if incoming calls. Long-distance calls (except when the long-distance phone company used for the call transmits Caller ID information Calls made from a cellular phone PRIVATE CALL - Appears (if available) if the caller chose to block sending Caller ID information. No caller information appears RPT - Appears if the call was a repeat call. A repeat call is an incoming call where the number is already stored in the system's Caller ID memory # - shows the number of a stored call. #01 is always the most recent call. ? - Appears within the Caller ID information if the one character was not properly received. It is normal for this to happen occasionally. If this happens often, contact your local telephone company and ask them to correct the problem. ??-------? - Appears within the Caller ID information if all characters were not properly received. It is normal for this to happen occasionally. If this happens often, contact your local telephone company and ask them to correct the problem. Reviewing Call Records To quickly review call records, repeatedly press REVIEW< or REVIEW>. The display shows the call records stored in Caller ID memory. If no caller ID information is stored in the system, NO CALLS is displayed. NOTES: If you do not press any button within 30 seconds while you are reviewing call records, the system automatically returns to the current time display. If a displayed phone number and/or name is more than 15 characters, press READ to see the rest of the phone number/name. If the caller's name if displayed and you want to view the caller's phone number, repeatedly press READ until the phone number is displayed. Dialing Numbers In Call Records Follow these steps to dial a number stored in Caller ID memory. 1. Repeatedly press REVIEW< or REVIEW> until the phone number you want to dial appears on the display. 2. To dial only the last seven digits of the displayed number (if the area code is the same as your area code and it is a local call), press L CALLBK. To dial all digits of the displayed number (if the area code is different from your area code or for a long-distance call), press REDIAL. Deleting Call Records You can select and delete individual call records, or all call records stored in the system. NOTE: When the system's memory is full, it automatically deletes the oldest call record as each new call comes in Follow these steps to select and delete a single call record. 1. Repeatedly press REVIEW< or REVIEW> until the call record you want to delete appears on the display. 2. When the system displays the call record you want to delete, press DELETE twice within 30 seconds. The system beeps, deletes the call record, and automatically renumbers the remaining call records. The display shows -------- or -END- (if you deleted the last call record). Then, after 30 seconds, the current time reappears. NOTE: If you do not press DELETE twice within 30 seconds, the system automatically returns to the current time display. Simply repeat this procedure. Follow these steps to delete all call records. 1. Press and hold down REVIEW< for about 4 seconds until CANCEL ? appears on the display. 2. Press DELETE. The system deletes all call records, and --------- appears on the display. If you do not want to delete all call records, simply wait 30 seconds and do not press any button. The current time reappears on the display. Memory Dialing You can store numbers in the system's 22 memories, so you can dial them quickly. The system has 11 upper and 11 lower memory locations. NOTES: You can store phone numbers of up to 32 digits. If you subscribe to Caller ID, the system automatically stores incoming phone numbers and names (if applicable) in its Caller ID memory. It is not necessary to store these numbers again in the system's memory To keep a record of the numbers you store in the system's memory, use a pointed object, such as a straightened paper clip, to peel back the cover over the card, then write the person's or company's name next to the appropriate memory location number. Use a pencil in case you want to change it later. Storing Numbers In Memory Follow these steps to store numbers into upper or lower memory. 1. Press STORE. LOCATION appears on the display. 2. Specify the memory location you want to use for this number. For an upper memory location, simply press a memory location button. For a lower memory location, press LOWER, then a location button. 3. Enter the number you want to store, including any FLASH and TONE/PULSE entries. NOTES: Each FLASH or TONE/PULSE entry uses 1 digit of memory. If you make a mistake while entering the number, repeatedly press DELETE until you delete the number. Then re-enter the correct number. 4. Within 30 seconds, press STORE. The system beeps, then stores the number. NOTES: If you do not press STORE within 30 seconds, the system returns to the current time display. Repeat Steps 1-4. If you answer a call before pressing STORE, you must repeat these steps after you complete the call. If you have pulse service, press * to store a change from pulse to tone mode at the appropriate place in your number. To prevent unauthorized access to special services, we recommend that you do not store any personal identification numbers in memory. Reviewing Stored Numbers To review a number stored in upper memory, press the desired memory location button To review a number stored in lower memory, press LOWER, then press the desired memory location The phone number stored in that memory location appears on the display. NOTES: Only the first 15 digits of the stored number appear on the display. Repeatedly press READ to view the remaining digits in the number. If you want to dial the number after you review it, simply press REDIAL while the number is displayed. The system automatically turns on the speakerphone and dials the number. IMPORTANT: When you test a stored number of an emergency service (such as a police or fire department, or ambulance service) make the test call in off-peak hours, such as late evening or early morning, and remain on the line to explain the reason for your call. Dialing Stored Numbers 1. Lift the handset or press SPKRPHONE. 2. To dial a number stored in upper memory, press the memory location button for the number. To dial a number stored in lower memory, press LOWER, then press the memory location button for the number. The phone number scrolls across the display, and the system dials the number. NOTE: You can dial numbers stored in other memory locations during a call by simply pressing the appropriate memory location number(s). Deleting Stored Numbers To delete a number stored in upper or lower memory, either store another number in its place or display the number and quickly press DELETE twice. The system beeps.
