AST Advantage 6xx/8xx Mailing Labels Faxback Doc. # 34573 The following are the steps to create mailing labels from Lotus SmartSuite. 1. Go to "Start", "Programs", Productivity", "Lotus SmartSuite", "Lotus Approach96". 2. A "Welcome to Lotus Approach" window appears. From here click on "open an existing Approach file" if you have already created a database, or click on "create a new file using a smartmaster" to start a new database. 3. (new database) After clicking on "create a new file using a smartmaster" then click on "blank database" under select a smartmaster. Then click on "OK". 4. A "New" window appears with the cursor blinking in the "file name" bar. After typing in the name either click on "create" or press the enter key on the keyboard. 5. A "creating new database" window appears with the cursor blinking in the "field name" box. After entering the name of the field you must press the 'tab' key on the keyboard to move the cursor to the "data type" box (use shift-tab to move the cursor backwards). For most databases the default setting of 'text' should be fine. Again press the tab key to move the cursor to the "size box". Enter the size of the field if the default of 10 is not enough space. Press the tab key again to start formatting another field. Repeat this process until there are enough fields for the labels or the database. Click on "OK" when ready to proceed. 6. Next a "Blank Database" windows appears. Click in the first field to begin entering data. Again use the 'tab' key on the keyboard to move through the fields and also to go to the next record. Use alt-tab to move the cursor backwards. 7. When through entering data click on "create" at the top of the screen and then goto "mailing label..". A "Mailing Label Assistant" window appears with the first field name highlighted. This windows has several different options with a design helper that allows you to select the actual shape and positions of the field on several different label types. The screen has two areas of importance to select field position on the label, the "fields" box and the "field placement" box. Inbetween these boxes there is an "add" button. Once the field that is highlighted in the "field" box corresponds to the correct spot in the "field placement" box then click on the "add" button to designate that position to that field. Do this for each field that should appear on the label. Then click on "OK". 8. A view of the mailing labels is then displayed as they will appear on the labels sheet. Click on "File" and "Print" when the printer is ready to print the labels. (LT/BKL-09/04/96)
