24K Directory Organizer (650-0950) Operation Faxback Doc. # 15647 Telephone Dialer INITIALIZING The first time you use the directory organizer, follow these steps to initialize it. CAUTION: This procedure clears all records, the date, time, and security code from the directory organizer. 1. Install batteries. 2. Press and hold down ENTER. 3. While holding down ENTER, use a ball-point pen to press the reset button, located on the bottom of the directory organizer. 4. Release the reset button. Then, release ENTER. The display goes blank for about 30 seconds. Then, the time display appears. STORAGE CAPACITY The directory organizer stores 31,532 units of information in its memory. Letters require 2 memory units, and numbers require only 1 memory unit. The directory organizer reserves 4172 memory units for the reminder notes file and 27,360 memory units for the business contacts file. To view the remaining memory, press ENTER. Then, press BUSINESS CONTACTS. The number of memory units still available appears on the top right of the display. NOTE: Using abbreviations lets you store more than 1000 business contacts. For example: Name: HOWARD SMITH Company: SMITH TOOLS Telephone: 817-555-9382 Other Information: 817-555-2774 2738 WINDSTONE AVENUE FORT WORTH. TEXAS. 76102 This record uses about 184 memory units. You could enter about 148 records of this length. If you do not store a fax number, address, or other information in the above example, it uses only 82 memory units. You can store as many as 333 records of this size. SETTING THE DATE AND TIME The date and time displays show the month, day of the month, day of the week, and time. Complete the following steps to set the date and time. 1. Press and hold down TIME for about 3 seconds. The display shows HH/MM A/P. 2. Enter the hour and minutes, and press A or P for a.m. or p.m. For example, enter 1:00 p.m. as 0100 P. When you press A or P, the display shows the time you entered. 3. Press and hold down DATE for about 3 seconds. The display shows MM DD YY. 4. Enter the date. Enter a 0 before a single-digit day or month. For example, enter March 5, 1995 as 030595. When you press the last digit of year the display shows the date with the day of the week flashing. 5. Repeatedly press VIEW to set the day of the week. 6. When the correct date appears, press DATE to store the date. NOTES: If you do not press DATE within about 1 minute, the last entered day of the week is stored. If the information you enter is invalid (for example, you enter 15 for the month), the display returns to the previous date and time setting, and the cursor returns to the date's first digit. VIEWING THE DATE AND TIME To view the date and time, simply press DATE or TIME. In the business contacts, reminder notes, and calculation modes, if you do not press a key within about 1 minute, the directory automatically returns to either the time or the date display depending on which one you last displayed. ENTERING INFORMATION Use the following suggestions to help get the most effective use from your directory organizer. Enter all names, company names, phone numbers, fax numbers, addresses, and any additional information into the business contacts file. Use the reminder notes for miscellaneous messages and a list of things to do. The directory organizer can store a total of 31,532 units of information. Each file can hold information as follows: Business Contacts File - Each record can hold up to 30 lines of information. The person's name can be up to 20 characters, and the company name can be up to 20 characters. The phone number can be up to 20 digits long. You can use the remaining 27 lines for any additional information you want to enter. Reminder Notes - each reminder note can be up to 8 lines long. If the note is dated, the directory organizer reminds you to CHECK YOUR NOTES TODAY on that time and date. NOTE: FULL appears on the display if no storage space is available. Delete business contacts file records or reminder notes records to free additional storage space. See "Deleting a Record." ENTERING BUSINESS CONTACTS FILE RECORDS Follow these steps to enter a business contacts file record. 1. Press ENTER. The display shows the following: 2. Press BUSINESS CONTACTS. The remaining memory capacity appears at the top right corner of the display. 3. Enter the name you want to store. Then, press RETURN. NOTE: Press SPACE to enter a space. Press ERASE to erase the last character entered. 4. Enter the company name. Then, press RETURN. 5. Enter the telephone number(s) you want to store. Then, press RETURN. NOTE: Press SPACE to enter a space or press - to enter a dash as a pause for long-distance call. A space provides about a 1-second pause and - provides less than a half-second pause. 6. Enter the fax number(s), address (es), or any other information you want to store. 7. Press ENTER, BUSINESS CONTACTS, TIME, DATE, or REMINDER NOTES. PLEASE WAIT A MOMENT appears on the display and the directory organizer stores the record. NOTES: If you do not want to enter a company name, telephone number, or any additional information, go to Step 7. You only enter each business contacts record once. The directory organizer keeps track of each record by both the person's name and the company name, so each record shows up twice when you recall business contacts records. If you do not press a key within about 1 minute while you are entering a record, the directory organizer automatically stores the record. ENTERING REMINDER NOTES Follow these steps to enter a reminder note. 1. Press ENTER. 2. Press REMINDER NOTES. 3. Enter the date and the notes you want to store. Press the return key, if necessary. NOTE: Press SPACE to enter a space. Press ERASE to erase the last character entered. 4. Press ENTER, BUSINESS CONTACTS, TIME, DATE, or REMINDER NOTES. PLEASE WAIT A MOMENT flashes on the display and the directory organizer stores the record. NOTE: If you do not press a key within about 1 minute while you are entering a record, the directory organizer automatically stores the record. RECALLING INFORMATION RECALLING BUSINESS CONTACTS FILE RECORDS You can recall business contacts file records three ways - rotary recall, indexed recall, and sequential recall. Rotary Recall You can quickly flip through your business contacts file records. Turn the rotary knob forward or backward to go to the business contacts file and view the records. Indexed Recall Follow these steps to quickly recall a business contacts file record. 1. Press BUSINESS CONTACTS. 2. Enter the first few letters (up to six) of the person's name or company name. If you do not enter six characters, the directory organizer displays the first business contacts record that starts with the characters you entered after about 2 seconds. If the displayed record is not the one you want, press BUSINESS CONTACTS to see the next record in alphabetical order, or you can press REV to see the records in reverse order. NOTE: If no record starts with the letters you entered, NO FILE WITH THAT SPELLING appears on the display. 3. If the record is longer than two lines, press VIEW to move down through the record one line at a time. Press REV to move up through the record. Sequential Recall Follow these steps to scroll through your business contacts records. 1. Press BUSINESS CONTACTS. 2. press BUSINESS CONTACTS again to view the first record in alphabetical order. Repeatedly press BUSINESS CONTACTS to advance or press REV to back up through the business contacts in alphabetical order. Your business contacts records show up twice - once by the person's name and once by the company name. 3. If the record is longer than two lines, press VIEW to move down through the record one line at a time. Press REV to move up through the record, if necessary. RECALLING REMINDER NOTES To recall reminder notes, press REMINDER NOTES. Reminder notes appear in order by date and followed by records not dated. If you have more than two lines of reminder notes, press VIEW to see more notes. NOTE: If there are any reminder notes with today's date, CHECK YOUR NOTES TODAY appears at the top of display. Follow these steps to quickly recall a reminder notes file record. 1. Press REMINDER NOTES. 2. Enter the first few letters (up to six) of the notes record. The reminder notes record appears. If the displayed record is not the one you want, press REMINDER NOTES to see the next record in alphabetical order, or press REV to see the records in a reverse order. NOTE: NO FILE WITH THAT SPELLING appears if no records match the letters you enter. 3. If the record is longer than two lines, press VIEW to review the additional information one line at a time. Press REV to move up through the records. EDITING INFORMATION CHANGING A RECORD Follow these steps to change a business contacts file or reminder notes record. 1. Recall the business contacts file or the reminder notes record. 2. Press VIEW to move the line you want to change to the top line in the display. 3. Press ERASE. The last character on the line is deleted. Press ERASE additional times to back up and delete more characters, if necessary. 4. Enter new characters. NOTES: If you are adding an additional line into the middle of a record, press VIEW to move the line before the additional line you want to add to the top line in the display. Press ERASE to delete the last character of the line, then, re-enter the last letter of the line. Press RETURN and enter the information. If you are adding to the end of the record, bring the last line of the record to the top line in the display and press ERASE. Then, press RETURN. The cursor flashes at the bottom line of the display. Enter additional line(s). 5. Press BUSINESS CONTACTS, REMINDER NOTES, ENTER, DATE, or TIME to save your changes to the record. DELETING A RECORD Follow these steps to delete a record from any of the files. 1. Recall the record you want to delete. 2. Press and hold down ERASE for about 3 seconds until the next record appears. NOTE: A dated reminder notes record is automatically deleted after the actual date passes. USING THE AUTO-DIALER You can use your directory organizer as a telephone dialer. Follow these steps to connect the directory organizer to the phone line. NOTE: Your directory organizer uses modular telephone jacks to connect to the phone line. If your telephone and/or line does not have modular jacks, you can get the necessary adapters to let you connect your directory to the phone lines at your local Radio Shack store. Or, you can have your local telephone company update your wiring. a. Never install telephone wiring during a lightning storm. b. Never install telephone jacks in wet locations unless the jack is specifically designed for wet locations. c. Never touch uninsulated telephone wires or terminals unless the telephone line has been disconnected at the network interface. d. Use caution when installing or modifying telephone lines. The directory organizer dials using standard touch tones. If you do not subscribe to touch-tone service, you must order this service from your local telephone company. The telephone company will charge you for the installation of necessary jacks and any change in service. The telephone company will ask you for the USOC of the jack to be installed. This number is RJ11. 1. Unplug the modular cord from your telephone and plug the cord into the directory organizer's LINE jack. 2. Plug one end of the supplied modular telephone cord into the directory organizer's modular PHONE jack. Then, plug the cord's other end into the phone's modular jack. Follow the instructions in "Recalling a Business Contacts File" to recall the record with the person's name or company's name you want to dial. Then, lift the telephone's handset or press the appropriate button on the phone for hands-free operation, and press DIAL PHONE to dial the number. NOTE: Be sure to lift the hand set of your telephone off the hook before you press the DIAL PHONE button. Dialing will not be complete if pressing DIAL PHONE button and then lifting up the handset. USING THE CALCULATOR You can use the following keys to do any standard arithmetic calculations. Press CALCULATOR or CE to begin using the calculator. Press CE to cancel the last entry. Press CE until 0 appears to clear the display for the next calculation. Press CALCULATOR to start a new calculation. NOTE: If the result of a calculation is more than 8 digits long, E (error) appears. If E appears, press CE to clear the display. For standard calculations, press the keys in the order they appear in the arithmetic operation. USING THE SECURITY CODE The security feature lets you limit access to all information stored in the directory organizer. Follow these steps to set the security code. 1. In any mode, press and hold down SPACE. Then, press [.]. 2. At the prompt, enter a two-digit number. This number becomes your directory organizer's security code. 3. Press ENTER to store the number. To lock your files after you set a security code, press and hold down SPACE. Then, press [.] Your directory organizer now prompts for the security code whenever anyone presses one of the file buttons. To unlock your files, enter the correct two-digit security code at the prompt. To remove the security code from your directory organizer, lock your files. Then, press ERASE and enter the correct code. RESETTING If the directory organizer is not working properly, use a pointed object, such as the end of a straightened paper clip, to press the RESET button on the back of the directory organizer. If the directory organizer still does not work properly, replace the batteries and press RESET again. You must re-enter the date and time after you reset the directory organizer. If the batteries become too low, the directory's display becomes dim and it might lose the date and time. The backup battery protects the telephone entries. Replace the batteries when the display dims. Then, follow the steps in "Initializing." If the directory organizer is still working improperly after you reset using the above method, you must initialize it. Follow the steps in "Initializing."
