EC-442 (650-0847) Scheduler Faxback Doc. # 15803 You can store schedule information (year, month, date, hour, and minutes) along with the schedule details. The EC-442's calendar shows a dot next to a date to indicate a scheduled event. You can also make the EC-442's alarm sound when the scheduled date and time are reached. Each scheduler entry can contain up to 384 characters, including new- line symbols. Entering the Scheduler There are two ways to enter the scheduler. Press SCHEDULE. The scheduler screen for the current date appears. Display the calendar and move the cursor to the date you want, then press SCHEDULE. The scheduler screen for the day you select appears on the display. Specifying a Date Scheduler information is stored by dates, with each date acting as one record. To specify a date in the scheduler mode, follow these steps. 1. Press SHIFT CLEAR. 2. Enter the year and press DATE/TIME. 3. Enter the number of the month and press DATE/TIME. NOTE: If the month/date has a single digit, it is not necessary to enter a 0 before the number. 4. Enter the date and press SCHEDULE (or DATE/TIME). One of the following displays appears. When no appointment is scheduled for the displayed data When there is an appointment scheduled for the displayed date Entering Scheduler Data 1. Press SCHEDULE to enter the scheduler, and enter a date as instructed in "Specifying a Date." NOTE: The display changes to an enter screen as soon as you enter numbers or letters. If desired, press CLEAR to display the TIME? prompt. 2. Enter the start hour, press DATE/TIME, and enter the start minutes. Be sure to press A (AM) or P (PM) if you are using the 12-hour format. Repeat this process for the end time. NOTE: If you do not need to enter start/end time, press NEXT and skip to Step 3. 3. Press NEXT or RIGHT SYMBOL to enter a short description If you don't want a description, press SET to complete the entry. Press LEFT SYMBOL to return to Step 2, and press RIGHT SYMBOL to return to Step 3. 4. To set a schedule alarm, press NEXT and proceed to "Setting a Schedule Alarm." Otherwise press SET to complete the entry. NOTE: When you have more than one entry on the same date, the entries are sorted as follows: When there are multiple entries without a start time specified they are arranged in the order they were stored. When there are multiple entries for the same time and date, they are arranged in the order they were stored. Recalling Schedules You can look up the schedule from the calendar (see "Entering the Scheduler") or by specifying a date in the scheduler (see "Specifying a Date"). You can also use the sequential, initial character, or mode search methods to recall data (see "Displaying/Editing Records"). Searching a Specified Time Range You can look within a specified time range on a given day for a schedule appointment. 1. Enter the scheduler and specify the date, if necessary. 2. Enter the start time of the range within which to look. Press DATE/TIME between the hour and the minute entries. 3. Press DATE/TIME again. 4. Enter the end time in the same way. 5. Press SHIFT SEARCH. Moving a Schedule Date You can move a schedule event or appointment to another day. 1. Enter the scheduler. 2. Recall the data you want to move. 3. Position the entry at the top of the display. If desired, press DISP CHNG to view the full entry. 4. Press FUNC until DATE CHANGE appears on the function menu. 5. Press 3 to select DATE CHANGE. To cancel the function at this time press ESC. 6. Enter the new year and press DATE/TIME; enter the new month and press DATETIME; enter the new date and press DATE/TIME. The display shows the new date. 7. Use the cursor keys to edit the data, if necessary. 8. Press SET to store the new date. Deleting Data up to a Specific Date You can delete the appointments you no longer need up to a specific date (for example, appointments that have already passed). If you have any records you want to keep within the period, mark them before performing this function. See "Marking a Record". 1. Enter the scheduler and press FUNC until ALL DELETE appears on the function menu. 2. Press 2 to select ALL DELETE 3. Enter the year up to which you want to delete appointments, and press DATE/TIME. NOTE: The starting date is always January 1, 1901. 4. Enter the month, press DATE/TIME, enter the date, and press DATE/TIME. 5. Press SET to delete the data. NOTE: To cancel the delete operation, press ESC. Schedule Alarm You can set schedule alarms to remind you of important events and appointments. NOTES: The alarm indicator and time are automatically cleared after the alarm time is reached. You can only set alarms for entries with a start time specified. If you set a schedule alarm for an entry with a start time specified, but then later clear the start time, the schedule alarm is also cleared. If the alarm time is reached during data transfer (to/from another EC-442 or a PC), the alarm does not sound until you complete the communication (see "Communication Functions"). The alarm might not sound if battery power is too low. "SECRET DATA!" appears on the display for a schedule alarm stored in the secret area. Setting a Schedule alarm To set a schedule alarm as you make the entry: 1. Enter a schedule start/end time and description as described in "Entering Scheduler Data." Then press NEXT. 2. If you want the alarm to sound at the start time, skip to Step 3. Otherwise, enter another time for the schedule alarm. Use LEFT SYMBOL and RIGHT SYMBOL to move between the hours and minutes. 3. Press SET to set the schedule alarm. UP SYMBOL and the set alarm time appear on the display. To set a schedule alarm for a previous entry: 1. Display the schedule record and press FUNC. 2. Select 1 ITEM EDIT, and then press NEXT. 3. If you want the alarm to sound at the start time, skip to Step 4. Otherwise, enter another time for the schedule alarm to sound. Use LEFT SYMBOL and RIGHT SYMBOL to move between the hours and minutes. NOTE: If you want to change an alarm time, you can press DEL to clear it; "ALM TIME?" appears on the display. Enter the new alarm time using the same procedure described above. 4. Press SET. UP SYMBOL and the set alarm time appear on the display. If the schedule alarm is on, when the alarm time is reached, the databank beeps for about 20 seconds (even if the EC-442 is turned off). Press any button to stop the alarm. If the alarm is off, the alarm time is stored in memory, but the alarm does not sound. (See "Turning the Schedule Alarm On/Off") NOTES: If you try to set a schedule alarm for a time that has already passed, the message "ALARM TIME ALREADY PASSED!" appears on the display. The entry is stored without a schedule alarm. If you set a schedule alarm for a time that is already set for another entry, the message "ALARM TIME ALREADY USED!" appears on the display. Press ESC, LEFT SYMBOL or RIGHT SYMBOL to display the previous schedule alarm entry so you can edit it. Turning the Schedule Alarm On or OFF NOTE: Turning the schedule alarm on or off affects all alarms. If you do not want a specific alarm to sound, you must delete it as described in "Deleting a Specific Schedule Alarm." 1. Press FUNC so SOUND appears on the function menu. 2. Press 4 to select SOUND. 3. Use UP SYMBOL or DOWN SYMBOL to select SCHED A1. 4. Use LEFT SYMBOL or RIGHT SYMBOL to switch the schedule alarm on or off. 5. Press SET. Checking a Schedule Alarm Setting 1. Enter the scheduler and recall the date you want (see "Specifying a Date"). 2. Press NEXT. The display shows all entries for that day. If the schedule alarm is turned on. UP SYMBOL appears next to those times with alarms. 3. Use UP SYMBOL and DOWN SYMBOL to scroll through the entries and view the alarm times. To clear the schedule alarm times, press NEXT again. Deleting a Specific Schedule Alarm 1. Enter the scheduler and recall the date you want. Position it at the top of the display and press FUNC 1 to enter the edit mode. 2. Press NEXT. The schedule alarm time appears. 3. Press DEL to delete the alarm time. 4. Press SET. (br/all-06/29/95)
