EC-348 (650-0840) Operation Faxback Doc. # 16712 INITIALIZING THE DIRECTORY After installing the batteries, initialize the EC-348 before you use it for the first time. Warning: This procedure deletes all files! 1. Press and hold ENTER. 2. While pressing ENTER, insert a pointed object (such as a straightened paper clip) into the RESET hole on the bottom of your EC-348, press, and release. The display shows: ENTER SUN MON TUE WED THU FRI DAT RECALL BUSI. CARDS LETTER TO WRITE REM. NOTES CALL SHEET MORNING REVIEW 3. Release ENTER, and wait for about 1 minute until a test screen appears on the display. 4. Press RESET again. The display returns to normal. All previously entered files are deleted. CONNECTING THE AUTO-DIALER The EC-348 uses modular telephone jacks to connect to the phone line. If your telephone and/or line does not have modular jacks, you can purchase the necessary adapters at your local Radio Shack store. Or, you can have your local telephone company update your wiring. The EC-348 dials using standard touchtones. If you do not subscribe to touch-tone service, you must order this service from your local telephone company to use this feature. The telephone company will charge you for the installation or necessary jacks and any change in service. The telephone company will ask you for the USOC of the jack to be installed. This number is RJ11C. Follow these steps to connect the auto-dialer to your phone line. 1. Unplug the modular cord from your telephone and plug it into the EC- 348's LINE jack. 2. Plug one end of the supplied modular telephone cord into the EC-348's PHONE jack. Then plug the cord's other end into the phone's modular jack. AUTOMATIC POWER ON/OFF To turn on the EC-348, press any key. If you do not press a key within about 3 minutes, the EC-348 automatically turns off. TURNING THE KEY TONE ON AND OFF If the key tone function is on, the EC-348 beeps each time you press a key. To turn this function on or off, press and hold SPACE and then press K. MOVING THROUGH RECORDS The flashing _ mark on the screen is called a "cursor." The cursor indicates the position where you enter the next character. The cursor keys move the cursor to the right or left along a data line, and up or down to other data lines. Arrows are marked on the cursor keys to show the direction. The symbol shown below indicates the end of a line. . . . .. . ..... In the data entry mode: [left arrow] Moves the cursor to the left [down arrow] Moves the cursor to the end of the next line [up arrow] Moves the cursor to the end of the previous line [right arrow] Moves the cursor to the right In the data recall mode: [left arrow] Displays the previous record [down arrow] Scrolls down line-by-line [up arrow] Scrolls up line-by-line [right arrow] Displays the next record Hold down an arrow (cursor) key to move the cursor rapidly. NEXT moves down through a record one screen at a time, and LAST moves up through a record one screen at a time. STORING RECORDS STORAGE CAPACITY All records share a common memory. Each letter, number, space or other character you store uses 1 memory unit. For example, the word COMPANY has 7 letters and therefore uses 7 units. The EC-348 can store a total of 129,408 units of information in the business card file and reminder notes. To view the remaining memory, press BUSINESS CARD FILE. The number of available units for all functions appears on the display. TYPE IN THE NAME OF A PERSON OR COMPANY MEMORY USED 27 MEMORY AVAILABLE 129381 FULL appears on the display if no storage space is available. Delete business card records or reminder notes records to free additional storage space. See "Deleting a Record." DATA ENTRY TIPS Use the business card file to store all names, company names, phone numbers, fax numbers, addresses, and any additional information. Use the reminder notes for miscellaneous messages and a list of things to do. Press SPACE to enter a space. Press ERASE to erase the last character entered. Press RETURN to start a new line. BUSINESS CARD FILE Each business card record can hold up to 62 lines of information. The maximum length for the person's name is 24 characters; the company's name, 24 characters; the phone number, 12 digits; and the fax number, 11 digits. You can use the remaining 58 lines for any additional information you want to enter. For example: Name: SMITH HOWARD Company: SMITH TOOLS Telephone: 817-555-9382 Fax: 817-5552774 Other Information: 2738 WINDSTONE AVENUE. FORT WORTH. TX 76102 This record uses about 91 memory units, including spaces and punctuation. You could enter about 1422 records of this length. If you did not store a fax number, address, and other information in the above example, it would use only 35 memory units. You can store about 4174 records of this size. NOTES: The EC-348 stores and recalls records by the first few characters in the person's/company's name. Enter the name last-name-first, if you want to recall records in alphabetical order. The number entered in the TELEPHONE field is the number used by the auto dial function. Using abbreviations lets you store more records. Entering Business Cards 1. Press ENTER. The display shows: TO ENTER INFORMATION FOR * BUSINESS CARD FILE * REMINDER NOTES * SPEED DIAL LIST PRESS CORRESPONDING KEY 2. Press BUSINESS CARD FILE. The display shows: TYPE LAST-FIRST NAME COMPANY NAME TEL# FAX# ADDRESS--CITY-STATE-ZIP AND ADDITIONAL INFO. 3. Enter the name you want to store. Press RETURN. NOTES: Press SPACE to enter a space. Press ERASE to erase the last character entered. The EC-348 sorts records by both the person's and the company's name and can detect a duplicate entry. When the first characters you enter match an existing file, the display shows CREATE DUPLICATE? Y/N. If you want to create a duplicate file, press Y. If not, press N. If you do not want to enter a company name, telephone number, fax number, or any additional information, press ENTER at any time to store the information. 4. Enter the company's name. Press RETURN. 5. Enter the telephone number(s) you want to store. Press RETURN. NOTES: In some telephone systems, you must dial an access code (9, for example) and wait for a second dial tone before you can dial an outside number. To store a 2-second pause after the access code to allow time for the outside line to connect, press % to enter a / between numbers. Press % again to enter / multiple times for a longer pause. You can also enter -, *, or # in the phone and fax numbers as necessary. 6. Enter the fax number(s) and press RETURN. 7. Enter the address(es), or any other information you want to store. NOTE: If you do not press a key within about 3 minutes while you are entering a record, the EC-348 automatically stores the record. REMINDER NOTES Each reminder note can be up to 58 lines long. They are stored and sorted alphabetically according to the first few characters (numbers come before letters). Entering Reminder Notes 1. Press ENTER. The display shows: TO ENTER INFORMATION FOR * BUSINESS CARD FILE * REMINDER NOTES * SPEED DIAL LIST PRESS CORRESPONDING KEY 2. Press REMINDER NOTES. The display shows: _TYPE IN A NOTE USING A DATE IF ONE APPLIES 3. Enter the date (if desired) and the note you want to store. Press the return key to start a new line. NOTES: If you want to date notes so you can recall them in calendar order, use numbers for dates and enter them in year-month-date order. RECALLING INFORMATION RECALLING BUSINESS CARDS You can recall business card records by rotary, index, or sequential recall. NOTES: Business card records display twice - by the person's name and by the company's name. If you are viewing a record that is an exact copy of another, the BUSINESS CARDS indicator flashes at the bottom of the display. BUSINESS CARDS Rotary Recall Press any key to turn on the EC-348 and turn the rotary knob on the side of the directory forward or backward. The EC-348 automatically enters the business card file. Continue turning the knob to quickly "flip" through your business card records. NOTE: Anytime the EC-348 is turned on and you turn the rotary knob, the EC-348 enters the business card file. Index (Alphabetical) Recall 1. Press BUSINESS CARD FILE. 2. Enter the first few letters of the person's or company's name. After about 2 seconds, the EC-348 displays the first business card record that starts with the character(s) you entered. If the displayed record is not the one you want, press [left arrow] or [right arrow] to scroll through the records in alphabetical order. NOTE: If no record starts with the letters you entered, FILE NOT ENTERED PLEASE TRY AGAIN and a ? appear on the display. 3. If the record is longer than six lines, press [down arrow] to move down or [up arrow] to move up through the record one line at a time. Press NEXT to move down through the record one screen at a time or LAST to move up one screen at a time. Sequential Recall 1. Press BUSINESS CARD FILE. 2. Press [right arrow] to view the first record or [left arrow] to view the last record in alphabetical order. Repeatedly press [right arrow] to advance or [left arrow] to reverse through the business card records in alphabetical order. 3. If the record is longer than six lines, press [down arrow] to move down or [up arrow] to move up through the record one line at a time. Press NEXT to move down through the record one screen at a time or LAST to move up one screen at a time. RECALLING REMINDER NOTES 1. Press REMINDER NOTES. If there are no reminder notes, NO FILE appears on the display. 2. Enter the date or the first few letters of the desired notes record. The reminder notes record appears. Or, press [right arrow] to recall the first note or [left arrow] to recall the last note in numeric/alphabetical order. Press [down arrow] or [up arrow] to scroll through the reminder notes line by line. NOTES: If no records match the numbers/letters you enter, FILE NOT ENTERED PLEASE TRY AGAIN and a ? appear. If the displayed record is not the one you want, press [right arrow] to see the next record or [left arrow] to see the previous record. If the record is longer than six lines, press [down arrow] to move down or [up arrow] to move up through the record one line at a time. Press NEXT to move down through the record one screen at a time or LAST to move up one screen at a time. EDITING RECORDS Changing A Record 1. Recall the business card record or the reminder note you want to change. 2. Press ERASE. The cursor appears in the display's top line to the right of the last character. Press ERASE. The character to the left of the cursor is deleted. Press ERASE repeatedly to backspace and delete more characters, if necessary. 4. Enter new characters (new characters insert as you type). NOTES: To add to the middle of a record, move the cursor to the end of a line and press RETURN to insert a new line. Then enter the additional information. To enter additional lines at the end of a record, press [down arrow] repeatedly to move to the end of the record. Then press RETURN. 5. Press ENTER to save the changes to the record. Deleting a Record 1. Recall the record you want to delete. If it is in the reminder notes file, press [left arrow] or [right arrow] repeatedly until the desired record shows on the display's top line. 2. Press and hold down ERASE for about 3 seconds. DELETE FILE? Y/N appears on the display. DELETE FILE? Y/N REMINDER NOTES 3. Press Y to delete the record or N to cancel. USING THE AUTO-DIALER Follow the instructions in "Recalling A Business Card File" to recall the record with the person's or company's name you want to dial. Then lift the telephone's handset (or press the appropriate button on the phone for hands-free operation) and press AUTO DIAL on the EC-348 to dial the number stored in the TELEPHONE field. RECALL TO DIAL 1. TEL# 817-555-9382 2. FAX# 817-5552774 TYPE 1-2 THEN PRESS DIAL BUSINESS CARDS NOTE: Be sure your telephone is off the hook before you press AUTO DIAL. USING THE SPEED DIAL LIST The speed dial list lets you quickly access your most important or often- used telephone numbers. You can then use the AUTO DIAL to call a number on the list. NOTE: You can transfer records already stored in the business card file to the speed dial list, so you don't need to re-enter the same information. See "Transferring a Business Card File Record to the Speed Dial List." STORING A SPEED DIAL NUMBER 1. Press ENTER. 2. Press SPEED DIAL LIST. 3. Enter the name (last then first, if you stored it in alphabetical order). Then press RETURN, and enter the telephone number. ENTER SMITH TEL# 817-555-9382 4. If you want to make another speed dial entry, press RETURN and repeat Step 3. 5. Press ENTER to store the record(s). TRANSFERRING A BUSINESS CARD FILE RECORD TO THE SPEED DIAL LIST 1. Recall the business card file record you want to transfer. 2. Press and hold SPACE while you press SPEED DIAL LIST. The name on the top line of the recalled record and the telephone number are transferred instantly to the speed dial list. Speed dial list records are stored and sorted by the first few characters of the name. The first matched name appears at the top of the display along with four other entries in order. Or, press [left arrow] to display (only) the last entry in the speed dial list or [right arrow] to display the first five entries. Press [down arrow] or [up arrow] to scroll through the speed dial entries line by line. NOTE: The speed dial list displays five names at a time, but you can store more than five entries in the speed dial list. 3. Press the number (1-5) that corresponds to the entry you want to call, and then press AUTO DIAL. That entry's telephone number is automatically dialed. SMITH HOWARD TEL# 817-555-9382 DIALING... DELETING A SPEED DIAL LIST ENTRY 1. Press SPEED DIAL LIST. 2. Enter the name (or the first few letters of the name) you want. The first matched name appears at the top of the display along with four other entries in order. 3. Press the number that corresponds to the entry you want to delete. 4. Press and hold ERASE until DELETE FILE? Y/N appears on the display. 5. Press Y to delete the file entry or N to cancel. USING THE SECURITY CODE The security feature lets you lock all the files stored in the EC-348. Once you set the security code, you can lock the files so the security code is required to access them. SETTING THE SECURITY CODE 1. In the business card file, the reminder notes, or the speed dial list, press and hold down SPACE while you press CODE. TYPE IN 2 NUMBERS FOR YOUR CODE __ THEN PRESS ENTER 2. At the prompt, enter any two-digit number. This number becomes the EC-348's security code. TYPE IN 2 NUMBERS FOR YOUR CODE 01 THEN PRESS ENTER 3. Press ENTER to store the number. LOCKING/UNLOCKING FILES To lock your files after you set a security code, press and hold down SPACE while you press CODE. The EC-348 now displays the security code prompt whenever anyone presses one of the file buttons. THE SECURITY CODE IS NOW ON To unlock your files, enter the correct two-digit security code at the prompt. Your files remain accessible until you lock them again. DELETING THE SECURITY CODE To remove the security code from the EC-348, lock your files. Press one of the file buttons to display the security code prompt. Then press and hold ERASE while you enter the two-digit security code. The display shows, "YOUR SECURITY CODE HAS BEEN DELETED." Now the EC-348's files cannot be locked. You can enter a new security code, or leave the security code feature inactive. USING THE CALENDAR The EC-348's calendar can display any month from January 0000 to December 9999. Press MONTHLY CALENDAR to enter the calendar. To move a month at a time, press [left arrow] or [right arrow]. To move a year at a time, press [up arrow] or [down arrow]. USING THE CALCULATOR You can use the EC-348 to perform standard arithmetic, memory, and percent calculations. CALCULATOR TIPS Press C/CE to cancel the last entry. Press C/CE or CALCULATOR so 0 appears to clear the display for the next calculation. If the result of a calculation is more than 12 digits long, ERROR appears. If ERROR appears, press C/CE or CALCULATOR to clear the display. 123456789012. X 78. MEMORY CALCULATIONS The memory calculation feature lets you easily do multistep calculations. Use the memory keys as follows: Press MC to clear the memory. Press MR to recall (display) the value in memory. Press M- to total a calculation and subtract the total from memory. Press M+ to total a calculation and add the total to memory. The predefined currency abbreviations are: USD - U.S. Dollar CAND - Canadian Dollar DM - Deutschemark E.PD - English Pound FF - French Franc HKD - Hong Kong Dollar LIRA - Italian Lira NT - New Taiwan Yuan PESO - Mexican Peso SF - Swiss Franc YEN - Japanese Yen You must set the exchange rate for each currency except the U.S., which is the base currency and is preset to 1. SETTING THE EXCHANGE RATES 1. Press CALCULATOR, and then press CURRENCY to enter the currency conversion mode. Press ERASE to correct your entry, if necessary. NOTE: The U.S. Dollar value is preset as 1. 4. Press CALCULATOR, then press CURRENCY to store the exchange rate. CONVERTING CURRENCY Follow these steps to convert currency. 1. Press CALCULATOR, then press CURRENCY. The display shows the exchange rates. 2. Enter the amount of currency you want to convert (up to six digits), then press the first letter of the currency abbreviation (C, D, E, F, H, L, N, P, S, or Y) for which you entered an amount.
