In addition, each file requires some overhead units on memory. Your EC-342 can store up to 48,313 units of information in its memory. To view the remaining memory, press TIME/DATE. The press CONTACT FILES. The number of available units appears on the the display. FULL appears on the display if no storage space is available. You can delete contact files or reminder notes to free additional storage space. DATA ENTRY TIPS Use the contact files to store all names, phone numbers, fax numbers, addresses, and additional information. Files are stored by the first few letters entered on the first line, so you might want to enter a contact's last name first. Use reminder notes for miscellaneous messages and a list of things to do. Press SPACE to enter a space. Press EDIT/ERASE to erase the last character entered. Press TIME/DATE at any time to clear the display and return to either time or date. CONTACT FILES Each contact file can hold up to 220 characters of information (300 including overhead), The maximum length for the contact's name is 16 characters; the company's name, 16 characters; the phone number(s) and fax number(s), 20 digits each. You can use the remaining lines for additional information. For example: Name: SMITH HOWARD Company: SMITH TOOLS First Telephone: 817-555-9382 Second Telephone:817-555-2774 Other Information: 2738WINDSTONE AVENUE FORT WORTH, TEXAS, 76102 This file uses about 138 memory units, including overhead. You could enter about 350 file of this length. If you do not store the second telephone number, address, or other information in the above example, it uses only 59 units. You can enter about 820 files of this length. NOTE: Using abbreviations lets you store more contact files. Entering Contact Files 1. Press Enter 2. Press CONTACT FILES 3. Enter the name you want to store, the press ENTER. NOTES: To recall files by contact's last names, enter last name first. If the person's name is exactly the same as any file already stored in memory, DUPLICATE? (Y/N) appears on the display. If you want to create a duplicate file, press Y. If not, press N. If you do not want to enter a telephone number, fax number, company name, or any additional information, press ENTER at any time to store the information. 4. Enter the telephone number(s) you want to store and press ENTER after each. You can enter up to three telephone numbers in a file. NOTES: In some telephone systems, you must dial an access code (9, for example) and wait for a second dial tone before you can dial an outside number. Press SPACE to enter a 1 second pause or- to enter a shorter pause. Repeatedly press SPACE or - for longer pause. Before or after a number, you can enter an H for home, C for company, F for fax, or P for portable or mobile phone. 5. Enter the company name, then press ENTER. 6. Enter the address(es), or any other information you want to store. 7. Press ENTER. Your EC-342 stores the file. To store more files, repeat Steps 3-7. NOTE: If you do not press a key within about 4 minutes while you are entering a file, Your Ec-342 automatically stores the file. REMINDER NOTES Each reminder note can be up to 128 characters long. They are stored and sorted according to the first few characters, first by numbers and then alphabetically. If the note is dated, your EC-342 reminds you to CHECK YOUR NOTES on that date. Entering Reminder Notes 1. Press ENTER 2. Press NOTES 3. Enter the date and the note you want to store. NOTE: If you do not want to enter a date first, simply start typing the note. 4. Press ENTER. Your EC-342 stores the note. To store more notes, repeat steps 3-4. NOTE: If you do not press a key within about 4 minutes while you are entering a note, your EC-342 automatically stores the note. RECALLING INFORMATION Recalling Contact Files You can recall contact files by rotary, index, or sequential recall. Contact files show up twice- once by the person's name and once by the company's name. Rotary Recall Turn the rotary knob forward or backward to quickly flip through your contact files. Index Recall 1. Press CONTACT FILES. 2. Enter the first few letters (up to four) of the person's or company's name. Your EC-342 displays the first contact file that starts with the character(s) you entered. NOTES: If the displayed file is longer than 16 characters, press VIEW to move through the file one line at a time. If the displayed file is not the one you want, repeatedly press CONTACT FILES to scroll forward through the files in alphabetical order or REV to scroll in reverse. If the displayed file is exactly the same as another file in the contact files, a repeat symbol flashes on the display. If no file starts with the characters you entered, FILE NOT ENTERED appears on the display. Sequential Recall 1. Press CONTACT FILES 2. Press CONTACT FILES again to view the files in alphabetical order. Repeatedly press CONTACT FILES to scroll forward through the files in alphabetical order or REV to scroll in reverse. NOTE: If the displayed file is longer than 16 characters, press VIEW to move through the file one line at a time. Recalling Reminder Notes 1. Press NOTES 2. Enter the first few numbers or letters of the desired note. Or, repeatedly press NOTES to scroll forward through the notes (first by date the alphabetically) or REV to scroll in reverse. NOTES: FILE NOT ENTERED appears if no notes match the date or the letters you enter. If there are any notes with today's date, CHECK YOUR NOTES TODAY appears at the top of the display. If the displayed note is longer than 16 characters, press VIEW to move through it one line at a time. EDITING INFORMATION Changing A File Or A Note 1. Recall the file or note you want to change 2. Press VIEW to move to the line you want to change. 3. Press EDIT. The cursor appears next to the last character on the line. 4. Repeatedly press EDIT as needed to delete characters. 5. Enter new characters, NOTES: To add to a line, press the left or right arrow to move the cursor to the desired location. Then insert the new information. To add additional information to the end of the file, press VIEW until the symbol appears on the display. Then press EDIT and enter the additional information. 6. Press either CONTACT FILES, NOTES, ENTER, or TIME/DATE to save changes to the file. DELETING A FILE OR NOTE 1. Recall the file or note you want to delete. 2. Press and hold down EDIT for about 2 seconds. DELETE FILE (Y/N) appears on the display. 3. Press Y to delete the file or N to cancel. NOTE: Outdated reminder notes are not automatically deleted. RESET/INITIALIZE (HARD RESET) This procedure will clear the date, time, security code and all records from the unit. 1. While holding down ENTER, insert a pointed object into the RESET hole on the bottom of the unit, press, and then release. 2. Release ENTER and wait for the display to return. The databank is initialized and any stored information is deleted. RESET WITHOUT LOSS OF DATA (SOFT RESET) Insert a pointed object into the RESET hole on the bottom of the unit, press, and then release. NOTE: All files remain intact.
