Rolodex PCLink (650-0132) Operation - Part 4 Faxback Doc. # 17122 Export CARDFILE The Export CARDFILE function allows PCLink cardfile information to be exported in dBASE or Text file format. From the MAIN MENU, move the highlighted bar to Selection 8 and press . The program will display: DBase File Format Text File Format Return to Main Menu Highlight the desired choice by using the < and > cursor keys, or type the highlighted letter, and press . To use PCLink with dBASE III, dBASE IV, Paradox, Foxbase, or Clipper, select dBASE format. To use PCLink with WordPerfect, Wordstar, Lotus 123, Supercalc, or any other spreadsheet or word processor, select Text file format. dBASE: If dBASE is selected the program displays: Enter DBase file name: Type a name with 8 characters or less, and press . If the file name already exists, you must either overwrite this file by pressing Y, or enter a new file name by pressing N and typing a new name. The file originally selected will now be converted to a dBASE DBF file, and located in the PCLink directory with the name specified above, and a .DBF suffix. The field information for this file is shown in the following table. Please refer to your database program manual on how to set up the fields for your database program, and how to import the database file created in PCLink. If the name you have chosen is already in use, the computer will tell you that the file name already exists. To overwrite this file press Y, or enter a new file name by pressing N and Typing a new name. The file originally selected will now be converted to ASCII Delimited Text and located in the PCLink directory, under the name previously entered, with a .TXT suffix. Each card in the card file will be saved as follows: "NAME", "COMPANY", "TEL#", "FAX#", "STREET ADRS", "CITY STATE ZIP" The file can be imported into various spreadsheet programs as ASCII Delimited Text. Refer to your spread sheet manual on how to import this data. The data can also be imported into various word processors as "mail merge" information: WORDPERFECT FOR DOS If you use WordPerfect for DOS, a utility to convert files from other formats is supplied with the program. To use, it go to your WordPerfect directory. 1. Type: CONVERT followed by the path and file name of the file you want to import into WordPerfect. Be sure to include the .TXT suffix. 2. Enter the output file name of your choice. 3. Chose option 9 to convert to the WordPerfect Mail Merge file. 4. WordPerfect will ask for a field delimiter, enter a comma followed by . 5. For a record delimiter type {13} {10} followed by 6. For character to strip off, type " followed by . 7. WordPerfect will now convert the file to a mail merge input file. Refer to your WordPerfect manual on how to use this file in mail merge applications. WORDPERFECT FOR WINDOWS WordPerfect for Windows can import ASCII Delimited Text files directly. Select the ASCII text file via the Open File menu. When WordPerfect for Windows opens the file, it will prompt you for the format. It should default to DOS text, use the mouse to select ASCII Delimited Text. The program will then import the file as a mail merge file. Consult your WordPerfect manual for information on how to make use of the mail merge file. ROLODEX txt file The ROLODEX txt file is the easiest way to extract all the information contained in any card file. This file will be strictly ASCII text with no formatting information. In order to create a ROLODEX txt file, complete the DOWNLOAD procedure, accessed from the MAIN menu. When asked to select the type of ROLODEX Electronic File to download into, press . This will create a file in the PCLink directory with the name of DOWNLOAD.TXT. This file can be opened and edited with any word processor. The ROLODEX txt format is as follows: Each line of the record ends with a CARRIAGE RETURN, and each records ends with a FORM FEED. The records are inserted into the ROLODEX txt file in the order that they are encountered in the PCLink data base. If a particular field within a record is blank, a CARRIAGE RETURN marks that position. The last non- vacant field is followed by a FORM FEED character, followed by the next record. The data is organized as follows: LAST NAME, FIRST NAME COMPANY TEL# FAX# STREET ADDRESS CITY STATE & ZIP Up to 54 more lines of miscellaneous data.
