EC-379 Pocket Data Organizer (650-0876) The Phone Directory Faxback Doc. # 19933 There are three different phone directories available (TEL 1, TEL 2, and TEL 3). You can enter a name, company name, address, telephone number, fax or pager number, and a note into each phone directory location. The name can be up to 24 characters, the company name can be up to 24 characters, the address can be up to 48 characters, each telephone number or fax/pager number can be up to 24 digits, and the note can be up to 24 characters, including spaces. ENTERING A PHONE DIRECTORY RECORD 1. Press PHONE. TEL 1 NAME? appears on the display. 2. Repeatedly press PHONE to select the directory (TEL 1, TEL 2, or TEL 3) where you want to store your record. 3. Press PROG. The amount of available memory then NAME? appears. 4. Enter the name with the last name first. (The organizer stores names alphabetically.) NOTES: Press SPACE to enter a space. Repeatedly press SYMBOL to select a symbol (a dash, period, US dollar sign, English pound sign, Japanese yen sign, slash, comma, apostrophe, or colon) if desired. Then continue entering information. In some telephone systems, you must dial an access code (9, for example) and wait for a second dial tone before you can dial an outside number. If your phone is connected to one of these systems, you might want to enter a pause at the appropriate point. To enter a pause, repeatedly press SYMBOL until a dash appears on the display, then press the right arrow key. If you make an incorrect entry, press the left arrow key repeatedly to move to the character you want to change, then type the correct character over the old one. If you do not want to enter a company name, address, phone number or fax number, or note, press ENTER until the next prompt appears. 5. Press ENTER. COMPANY? appears on the display. 6. Enter the company name and press ENTER. ADDRESS? appears on the display. 7. Enter the address and press ENTER. TEL #? appears on the display. 8. Enter the telephone number. NOTE: In order to use the Auto Dialer, you must enter the full telephone number, including the area code (see "Auto Dialing"). 9. Press ENTER. FAX #? appears on the display. 10. Enter the fax number and press ENTER. NOTE ? appears on the display. 11. Enter the note and press ENTER to store the record. WAIT appears on the display. NOTE: When NAME ? appears, follow Steps 4-11 to enter the next record. 12. Press PROG to return to the telephone directory display. RECALLING A PHONE DIRECTORY RECORD You can recall a phone directory record in one of four ways: sequential recall by name, sequential recall by company, direct recall by name, and direct recall by company. NOTE: Phone directory records are stored in alphabetical order. SEQUENTIAL RECALL BY NAME 1. Press PHONE and select the desired phone directory. 2. Press the SEARCH down key to view the first record sorted alphabetically by company. NOTE: If there are no records stored in the directory, NOT FOUND appears on the display. 3. Press the small down arrow key to view the whole record. 4. To recall other records, repeat Steps 2 - 3. SEQUENTIAL RECALL BY COMPANY 1. Press PHONE and select the desired phone directory. 2. Press ENTER. COMPANY ? appears. 3. Press the SEARCH down key to view the first record. NOTE: If there are no records stored in the directory, NOT FOUND appears on the display. 4. Press the small down arrow key to view the whole record. 5. To recall other records, repeat Steps 2 - 3. DIRECT RECALL BY NAME 1. Press PHONE and select the desired phone directory. 2. Enter the first few characters of the desired name. 3. Press the SEARCH down key to search for names which begin with the entered characters. The first record which begins with the characters you entered appears. If a matching record is not found, NOT FOUND appears on the display. 4. Press the small down arrow key to view the whole record. 5. Press the SEARCH up or down keys to view the previous or the next record. DIRECT RECALL BY COMPANY 1. Press PHONE and select the desired phone directory. 2. Press ENTER. COMPANY ? appears. 3. Enter the first few characters of the desired company. 4. Press the SEARCH down key to display the first record beginning with the entered characters. NOTE: If a matching record is not found, NOT FOUND appears on the display. 5. Press the up or down arrow keys to view the whole record. 6. Press the SEARCH up or down key to view the previous or next record. EDITING A PHONE DIRECTORY RECORD 1. Recall the record you want to edit. 2. Press EDIT. A flashing cursor appears on the leftmost character of the person's name. 3. Press the right arrow key to move the cursor to the character you want to edit. To change a character, simply enter the correct character. To add a character, press INSERT so a character space appears in the cursor's location and the succeeding text moves to the right. Then enter a character. Press SPACE to enter a space. To delete a character, press DELETE. 4. When you finish editing the person's name, press ENTER. The company name appears on the first line of the display. 5. Repeat Steps 3 - 4 to edit the company name, address, telephone number, fax number and note. When you finish editing, press ENTER until WAIT ... appears. The edited information is stored. Then the directory (TEL 1, TEL 2, or TEL 3) and NAME? appear on the display. DELETING A PHONE DIRECTORY RECORD 1. Recall the record you want to delete. 2. Press DELETE. DELETE ? (Y/N) appears. 3. If you are sure, press Y. The entire directory record is deleted. Otherwise, press N. The record remains. AUTO DIALING WARNING: Do not place the phone dialer near credit cards. The dialer's speaker contains a magnet which might erase the magnetic strip on a credit card. NOTES: You must have touch tone service on your telephone equipment to use auto dial. Auto dial only works with telephone numbers that are stored beside TEL # in a phone directory record. It will not call a number stored beside FAX #. Follow these steps to auto dial a phone number. 1. Recall the data record of the person whose phone number you want to dial. 2. Align the organizer's rear speaker with the telephone receiver, and hold the organizer firmly against the telephone receiver. 3. Press AUTO DIAL. DIALING appears. 4. Hold the organizer in place until dialing is complete and DIALING disappears. (YO/all-03/11/96)
