The maximum length for the person's name is 24 characters; the company's name, 24 characters; the phone number, 19 digits; and the fax number, 19 digits. You can use the remaining 56 lines for any additional information you want to enter. For example: Name: HOWARD SMITH Company: SMITH TOOLS Telephone: 817-555-8382 FAX: 817-555-2774 Additional Information: 2738 WINDSTONE AVE. FT. WORTH, TX 76102 This record uses about 126 memory units, including spaces, punctuation, and overhead. You could enter about 1017 records of this length. This section describes how to enter and recall Card File records. To edit a card file record, see "Editing a Record" below. To delete one or all card file records you stored, see "Deleting a Record" below. ENTERING CARD FILE RECORDS 1. Press ENTER. The organizer displays: *CARD FILE *CONFIDENTIAL FILE *TO DO LIST/SCHEDULE *DAILY ALARMS PRESS CORRESPONDING KEY 2. Press CARD FILE. The organizer displays: TYPE LAST-FIRST NAME COMPANY NAME TEL # FAX # ADDRESS-CITY-STATE-ZIP AND ADDITIONAL INFO. 3. Enter the name you want to store. Press RETURN. NOTES: When the person's name you entered matches one in an existing file, the display shows CREATE DUPLICATE? Y/N. If you want to create a duplicate file, press Y. If not, press N. If you do not want to enter a company name, telephone number, fax number, or any additional information, press ENTER at any time to store the record. 4. Enter the company's name. Press RETURN. 5. Enter the telephone number(s) you want to store. Press RETURN. 6. Enter the fax number. Please RETURN. 7. Enter the address or any other information you want to store. 8. To store more card file records, press ENTER to store the record and repeat Steps 3-7. If you want to enter another mode, press any mode key to store the displayed record and enter the mode. NOTE: If you entered a space, number, or symbol (for example #, -, +) as the first character of the name, INVALID FILE appears and the record is not stored. The first character of the name must be a letter. RECALLING CARD FILE RECORDS Card file records are stored in alphabetical order by name. You can recall card file records by sequential, index, or Pager ID recall. NOTES: Card file records are cross-referenced by both the person's and the company's name. The number of card file records stored appears on the display when you press CARD FILE. If you are viewing a duplicate record, DUPLICATE appears at the bottom of the display. Sequential Recall 1. Press CARD FILE. The organizer displays: TYPE IN THE NAME OF A PERSON OR COMPANY NO. OF CARD FILES 10 MEMORY USED 1214 MEMORY AVAILABLE 127000 2. Press > to see the first or < to see the last record. 3. Press and hold > to scroll forward or press and hold < to scroll back- ward through the name and company portion of your records in alpha- numeric order. When you release > or <, the entire file appears. 4. To exit, press any mode key. Index Recall 1. Press CARD FILE. 2. Enter the first letter of the person's or company's name. The record that starts with the specified letter appears. NOTES: If more than one record begins with the specified letter, PLEASE TYPE NEXT LETTER appears. If you do not enter the next character, after about 2 seconds your organizer displays the first record that starts with the specified letter. To avoid the 2-second pause, press >. If the displayed record is not the one you want, press < or > to scroll through the records in alphanumeric order. If no record starts with the letter you typed, NO FILE MATCH PLEASE TRY AGAIN appears on the display. 3. To exit, press any mode key. Pager ID Recall 1. Press CARD FILE twice. The message TYPE IN A TELEPHONE NO. TO VIEW THE ASSOCIATED CARD FILE appears on the display. 2. Enter the last few digits (up to 19) of the phone number you want to find. After you enter the first digits, the display shows: 5 PLEASE TYPE NEXT NUMBER THEN PRESS "RETURN" 3. Press RETURN. The first matching file appears. If no record ends with the digits you typed, NO FILE MATCH PLEASE TRY AGAIN appears on the display. If the displayed record is not the one you want, press < or > to scroll through other matching records in alphanumeric order. 4. To exit, press any mode key. CARD FILE TRANSFER You can transfer card file records between two 65-877s or between a 65-877 and a Cat.No. 65-939, Cat.No. 65-840, Cat.No. 65-873, or Cat.No. 65-842. NOTES: You can transfer file records from a 65-840 or a 65-939 to your 65- 877, but you cannot transfer file records from your 65-877 to a 65- 840 or a 65-939. For file transfer between a 65-877 and a 65-840 or a 65-939, the spacing of the transferred information might change because the corresponding record field lengths are not the same. For file transfer from a 65-877 to a 65-842 only the first 55 lines of each record can be transferred. Your organizer's display might dim during the transfer, but it returns to normal after you complete the transfer. If all the characters of a record in the sending unit match those of one in the receiving unit, the record is stored as a copy. The following instructions refer to keys and displays on this 65- 877 organizer. The keys and displays for other organizers differ slightly. See the owner's manuals for those organizers. All of the file records might not transfer completely if the receiving unit's available memory is not enough to store all of the files from the sending unit. If the receiving units available memory is less than 1K, NOT ENOUGH MEMORY FOR INFRARED OPERATION appears on the display. TRANSFERRING ALL OR NEW RECORDS You can transfer all card file records, or just those you have added since the last transfer. 1. Place the sending unit on the right and the receiving unit on the left. 2. On the receiving unit, press CARD FILE, then RECEIVE. 3. On the sending unit, press CARD FILE, then SEND. The display shows: 1. A ROLODEX PRODUCT FROM LIST "A" 2. A ROLODEX PRODUCT FROM LIST "B" TO CHOOSE, TYPE 1-2 NOTES: List "A" represents products that include symbol characters in addition to the basic alphanumeric characters, and therefore have full file transfer capability. The 65-873, 65-842, and 65-877 belong to this list. List "B" represents products in which symbol characters are not completely compatible with infrared transfer. When symbol characters are transferred from a List "A" product to a List "B" product, they appear as blank spaces on the display. 4. Press 1 to transfer to another 65-877, a 65-873, or a 65-842. Press 2 to transfer to another compatible organizer. The display shows: TYPE "A" TO TRANSFER ALL OF YOUR FILES OR TYPE "N" TO TRANSFER YOUR NEW FILES ONLY NOTE: To abort the transfer process, press CLOCK on the sending or receiving unit. After the record transfer begins, pressing CLOCK has no effect. 5. Press A to send all records or N to send only the records you have added since the last transfer. The records begin to transfer. FILES ARE BEING RECEIVED NOW PLEASE WAIT A MOMENT appears on the receiving unit's display. FILE IS BEING COPIED AND TRANSFERRED appears on the sending unit's display. When the transfer is complete, TRANSFER SUCCESSFUL? Y/N appears on the sending unit's display. If FILES ARE BEING SORTED PLEASE WAIT A MOMENT appears on the receiv- ing unit's display, press Y on the sending unit. If FILES DID NOT TRANSFER SUCCESSFULLY PLEASE TRY AGAIN appears on the receiving unit's display, press N on the sending unit. Be sure the transmit and receive windows on the units are aligned, then try again. When the sending unit display prompts to transfer all the files or new files only, type N. This prevents duplicate files from being trans- ferred and stored. NOTES: If you transfer card file records that use more than 96K memory units, SUCCESSFULLY RECEIVED UP TO: (the person's name on the record) PRESS "R" TO CONTINUE RECEIVING REMAIN FILES OR PRESS "S" TO SKIP appears on the receiving unit's display. To continue, press R on the receiving unit, then repeat Steps 3-5. (You might need to repeat this procedure several times.) To skip the remaining files, press S. Since up to 1K of overhead memory is required for the file transfer, only 127K memory units of information can be transferred. So, some card file records (up to 1K) might not transfer even after repeating this procedure several times. NOT ENOUGH MEMORY, SOME OF THE FILES HAVE NOT BEEN STORED appears on the receiving unit's display. See "Entering Card File Records" above to enter the records that did not transfer. TRANSFERRING ONE RECORD 1. Place the sending unit on the right and the receiving unit on the left. 2. On the receiving unit, press CARD FILE. Then press RECEIVE. 3. On the sending unit, recall the card file record you want to transfer. Then press SEND. The display shows: 1. A ROLODEX PRODUCT FROM LIST "A" 2. A ROLODEX PRODUCT FROM LIST "B" TO CHOOSE, TYPE 1-2 4. Press 1 to transfer to another 65-877, a 65-873, or 65-842. Press 2 to transfer to another compatible organizer. 5. When the transfer is complete, TRANSFER SUCCESSFUL? Y/N appears on sending unit's display. If the transferred card record appears on the receiving unit's display, press Y on the sending unit. If FILES DID NOT TRANSFER SUCCESSFULLY PLEASE TRY AGAIN appears on the receiving unit's display, press N on the sending unit.
